Who we are

Propiqo ("Propiqo", "we", "us") provides property management software to landlords, property managers and their teams ("customers"). This policy explains how we handle personal data when you visit our website, create an account, or use the Propiqo service.

Two roles: controller and processor

For the website and for customer account administration (for example, the name and email of the person who signs up), Propiqo is the controller.

For data our customers put into Propiqo about their tenants, owners, vendors, leads and staff, the customer is the controller and Propiqo acts as their processor, handling that data only on the customer's documented instructions and under our data processing terms. If you are a tenant, owner or vendor, please contact the property manager or landlord who invited you with questions about your data.

Data we collect

Account data: name, email, phone number, company, role, language and password (stored as a one-way hash).

Customer content: records you create in Propiqo, such as properties, leases, invoices, receipts, cheque details, maintenance tickets, inspection photos, messages and documents.

Usage and device data: pages visited, actions taken, IP address, browser and device type, and security logs, including the audit log of changes made in your workspace.

Enquiries: details you send through our contact form, such as your name, email, phone, company and message.

Payments: online rent payments are processed by the payment provider the customer connects (for example Stripe, Telr, Network International, PayTabs or Checkout.com). Propiqo does not store full card numbers.

How we use data

To provide, secure and support the service; to process transactions and send service messages; to respond to enquiries and demo requests; to improve the product; and to comply with legal obligations.

AI features process customer content only to answer the customer's own requests, and only when the customer enables them.

We do not sell personal data.

Sharing

With sub-processors that host and operate the service (hosting, email, messaging, payment and AI providers), under contracts that protect the data. [List of sub-processors to be published.]

With messaging and payment providers the customer chooses to connect, when the customer sends a message or takes a payment through them.

With authorities where required by law.

International transfers

Data may be processed outside the country where it was collected. Where required, we use appropriate safeguards for such transfers. [Hosting regions and transfer mechanisms to be confirmed.]

Retention

Customer content is kept for as long as the customer's account is active and then deleted or returned in line with the customer agreement, except where we must keep it longer by law. Financial records may be retained for statutory periods.

Security

Measures include two-factor authentication, role-based access with property scoping, encryption of provider credentials at rest, HTTPS, rate limiting and an audit log. No system is completely secure; please tell us promptly if you suspect unauthorised access.

Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict or port your personal data, and to object to or withdraw consent for certain processing. Contact us to exercise them; if your data is held by one of our customers, we will refer your request to them.
